In summary

AI Productivity & Readiness Assessment at a glance

What this service is
The AI Productivity & Readiness Assessment is a structured consultancy engagement that reviews how a business currently uses artificial intelligence, identifies practical use cases, examines identity, permissions and data-access risk, and produces a phased adoption roadmap.
Who it is for
Leadership teams, IT and security leaders, finance directors and boards in UK and British Virgin Islands organisations that are considering AI, hold unused Microsoft 365 Copilot or ChatGPT licences, or have discovered unapproved AI use among staff.
Problems it solves
It resolves uncertainty about where AI will pay back, fragmented or unmeasured pilots, unclear ownership, and the governance and oversharing risks that surface when generative AI is pointed at an existing Microsoft 365 estate.
What happens after completion
After the assessment you receive an executive readout and a phased roadmap. Most organisations then close any governance gaps through the AI Governance & Security Project, run a first controlled pilot with a Department-Specific AI Productivity Pack, and track progress through the Quarterly AI Success Review.
Primary benefits
  • Independent, vendor-neutral view of platform and licensing fit
  • High-value use cases and quick wins identified and ranked
  • Data-access, permissions and governance risks surfaced before rollout
  • A defensible, board-level basis for AI investment decisions
Expected outcomes
  • Better decision-making from an evidence-based view of AI value
  • Reduced adoption risk through early identification of security gaps
  • A prioritised opportunity map linked to business objectives
  • A measurement baseline so later productivity claims can be verified

Overview

What the AI Productivity & Readiness Assessment involves

The AI Productivity & Readiness Assessment is a structured, business-first review designed to identify where AI can deliver practical value, determine whether your organisation is ready to deploy it safely, and create a clear roadmap for what to do next. It is the starting point for leadership teams that know AI matters but need evidence before committing larger budgets or wider rollouts.

Many organisations are already experimenting with AI. Licences have been bought, pilots have been launched and teams are using consumer tools with company data. Yet without a clear view of use cases, controls and readiness, adoption becomes fragmented, risky and difficult to justify. AI licences alone do not create value; they only pay back when they are matched to the right people, workflows and data. This assessment replaces that uncertainty with a board-ready decision document.

AI also introduces real governance and data risks. Assistants that can search across files and emails will surface content that was already overshared. Sensitive information can leave the business through tools that have not been approved. Unclassified data, broad permissions and weak identity controls become incidents waiting to happen. Businesses need clarity before investing at scale, and boards, finance directors and audit committees are asking for evidence: where will AI pay back, what risks does it introduce, what controls are needed and which pilot should come first.

The assessment is independent of any vendor. We look at your current AI use, your user groups and workflows, your identity and permissions model, your file-sharing and data-access practices, and the platforms and licensing options that fit your estate. The result is not a sales recommendation; it is a prioritised plan that shows what to do now, what to do later, and what should only happen after the right controls are in place.

Fresh Mango AI is the artificial intelligence consultancy of Fresh Mango Technologies, advising organisations across the United Kingdom and the British Virgin Islands on AI readiness, AI governance and security, AI adoption, business process automation, AI agents and robotics.

How this fits with our other AI services

Where the assessment finds oversharing, weak identity controls or unclassified data, that remediation is delivered as a standalone AI Governance & Security Project.

The pilot recommendations in the roadmap are usually delivered as a Department-Specific AI Productivity Pack for the first department in scope.

The baseline established here is what the Quarterly AI Success Review measures against each quarter.

Features

What is included in the engagement

Every element below is delivered by senior consultants and tailored to your organisation.

Executive and management sponsor interview

We begin with your leadership perspective: business objectives, existing AI initiatives, budget appetite and the questions the board or management team need answered.

Review of current AI use, user groups and workflows

We map where AI is already being used, formally or informally, and identify the teams and tasks where intelligent assistance could realistically change the economics of daily work.

Identity, MFA, file-sharing and permissions review

We inspect who can reach what across your tenant, including broad sharing links, stale access and unclassified sensitive content that AI would expose if deployed today.

Platform and licensing fit assessment

We assess Microsoft 365 Copilot, Copilot Studio, ChatGPT, Google Gemini, Anthropic Claude and other options against your estate, workloads and budget.

Use-case, quick-win and indicative ROI discussion

We identify high-value, realistic use cases and quick wins, then model indicative benefits so finance and leadership can see the basis for each investment decision.

Plain-English risk register and readiness assessment

We document data, access, confidentiality and governance risks in straightforward language, scored and prioritised so you know which issues must be closed before wider rollout.

Phased adoption roadmap and next-stage recommendations

You receive a sequenced plan linked to business objectives, showing which actions to take now, later and only after controls are in place.

Business challenges solved

Problems the AI Productivity & Readiness Assessment is designed to fix

These are the situations clients describe to us most often, and how this engagement resolves each one.

We do not know where AI will create value

The assessment identifies high-value, realistic use cases and quick wins, then ranks them by effort, risk and business fit so the first decisions become obvious.

We bought AI licences and nothing changed

We review current AI use, user groups and workflows to find why adoption stalled, then reprioritise around the people and tasks where AI will actually pay back.

Our board is asking about AI risk

You receive a plain-English risk register covering data, access, confidentiality and governance risks that can be presented directly to the board or audit committee.

Staff are already using AI tools we have not approved

Current AI use is surfaced and evaluated, then channelled into a sanctioned, governed approach before sensitive information leaves your control.

We cannot build a business case

Use-case discussions and indicative ROI modelling give finance a defensible basis for investment rather than vendor marketing figures.

We are unsure which AI platform is right for us

An independent platform and licensing fit assessment weighs Microsoft 365 Copilot, Copilot Studio, ChatGPT, Google Gemini, Anthropic Claude and other options against your estate.

Expected outcomes

What you should expect to achieve

Outcomes are agreed at the outset and measured against a documented baseline.

A board-ready decision document

A clear basis for AI investment that covers value, risk and readiness before wider spend is committed.

Risk visibility before rollout

Data, access, confidentiality and governance risks identified while they are still cheap to fix.

A prioritised opportunity map

High-value use cases and quick wins ranked and linked to business objectives.

Pilot recommendations

Suggested users or departments for a controlled first phase, with the controls needed before it starts.

A phased roadmap

Sequenced actions showing what to do now, later and only after controls are in place.

Typical timescales

How long the AI Productivity & Readiness Assessment takes

Indicative timings based on comparable engagements. Exact durations are confirmed during scoping.

  1. Kick-off and scoping Week 1

Agree teams in scope, arrange read-only tenant reporting access and schedule the executive or management sponsor interview.

  2. Discovery and technical review Weeks 1-2

Stakeholder interviews, review of current AI use, workflows, identity, MFA, file-sharing and permissions, plus platform and licensing fit assessment.

  3. Analysis and modelling Week 2-3

Use cases, quick wins and indicative ROI are modelled; risks are scored and prioritised; the opportunity map and pilot recommendations are drafted.

  4. Executive readout Week 3

Board-ready presentation of the AI Readiness Report, Risk Register, Opportunity Map, Pilot Recommendations and Phased Roadmap.

  5. Larger or multi-site estates Up to 4-5 weeks

Additional time where several jurisdictions, business units or complex line-of-business systems are in scope.

Examples of use cases

How organisations use this service in practice

Professional services firm before a Copilot rollout

A firm used the assessment to discover broad file-sharing and unclassified client content, closed the exposures, then selected two departments for pilot licensing rather than rolling out blindly.

Finance team building a business case

Use-case and quick-win discussions across month-end reporting produced an indicative ROI credible enough for the CFO to release budget for a pilot.

Regulated business responding to a board risk question

The risk register and readiness assessment became the AI section of the annual risk review and the basis of the organisation's first AI policy.

Business with stalled AI adoption

A review of current AI use and user groups showed licences were held by executives rather than the document-heavy teams who needed them; reallocation restarted adoption.

Group with multiple jurisdictions

A UK and BVI group assessed both entities together to align on one platform decision while respecting different data protection expectations.

Suitable business sizes

The engagement is scaled to the organisation. Below is how it typically applies at each size.

Small businesses (10-50 staff)

A focused two-week version covering one or two teams, aimed at a fast, low-risk first win without heavy programme overhead.

Mid-sized organisations (50-500 staff)

The core engagement. This is where task duplication, file sprawl and permission drift usually create the largest measurable opportunity.

Larger enterprises (500+ staff)

Delivered per business unit or division, feeding a group-level roadmap and a shared governance baseline.

Groups and multi-jurisdiction businesses

Assessed together so platform, licensing and data residency decisions are made once rather than repeatedly.

Suitable industries

We deliver this work across regulated and non-regulated sectors in the UK, the British Virgin Islands and internationally.

Professional and financial services

Document-heavy, precedent-driven work where drafting, summarising and research assistance returns hours quickly — provided client confidentiality boundaries are proven first.

Legal and accountancy

High sensitivity content and strict matter separation make permission analysis the critical prerequisite before any AI search capability is enabled.

Healthcare and care providers

Administrative burden is significant, but special category data means readiness work focuses heavily on classification and lawful basis.

Logistics, construction and field operations

Opportunity concentrates in reporting, scheduling, compliance paperwork and supplier correspondence rather than in office documents alone.

Public sector and not-for-profit

Assessments emphasise transparency, records management and defensible decision-making alongside productivity gains.

Sector-specific detail is available on our industries page, and comparable results are published in our case studies.

FAQs

AI Productivity & Readiness Assessment: frequently asked questions

What is the AI Productivity & Readiness Assessment?

It is a structured assessment of where AI can deliver practical value in your organisation, whether you are ready to deploy it safely, and what should happen next. It produces an AI Readiness Report, Risk Register, Opportunity Map, Pilot Recommendations and a Phased Roadmap.

How long does the assessment take?

Most assessments run for two to three weeks from kick-off to executive readout, depending on the number of teams in scope and how quickly stakeholder interviews can be scheduled. Larger or more complex estates may take a little longer.

How much of our team's time will it require?

Typically one hour per stakeholder interview, a short opportunity workshop per department in scope, and a small amount of IT time to grant read-only reporting access to your tenant. We deliberately keep the burden light.

Do we need to have chosen an AI platform first?

No. Platform and licensing fit is one of the outputs. We assess Microsoft 365 Copilot, Copilot Studio, ChatGPT, Google Gemini, Anthropic Claude and other options against your estate and recommend accordingly.

What happens if the assessment finds we are not ready?

That is a valuable result. It means you avoid deploying AI onto an estate that would expose sensitive content or produce poor outputs. The roadmap sets out exactly what remediation is required and in what order.

Is implementation included?

No. Implementation, remediation, licences, platform subscriptions, staff training, custom automation and ongoing support are excluded unless separately quoted. The assessment is purely a decision-support and planning engagement.

Who is the assessment for?

Leadership teams, IT and security leaders, boards and finance directors who need a clear, evidence-based basis for AI investment before committing to larger spend or wider rollout.

Can the assessment cover more than one office or jurisdiction?

Yes. We regularly assess multi-site organisations across the United Kingdom, the British Virgin Islands and internationally, taking account of local data protection obligations and differences in systems or working practice.

Decision brief

AI Productivity & Readiness Assessment: what business owners need to know

Straight answers to the five questions that decide whether an AI project is worth starting.

Why should I trust Fresh Mango AI?

Fresh Mango AI is the artificial intelligence practice of Fresh Mango Technologies, an IT, cyber security and cloud provider that has supported businesses since 2004 from offices in Ripon, Leeds, Skipton and Tortola in the British Virgin Islands. The same engineers who secure your identity, data and Microsoft 365 tenant advise on your AI adoption, so recommendations are grounded in what your estate can actually support rather than in vendor marketing.

What business outcomes will I achieve?

Clients typically release several hours per person per week on drafting, summarising, searching and reporting, shorten document and approval cycle times, and remove manual re-keying between systems. Every engagement starts by baselining the work involved so that the benefit is measured in hours released and cycle time reduced, not in licences purchased.

What are the risks if I do nothing?

Doing nothing is not a neutral position. Staff adopt consumer AI tools on their own, so company and client data leaves your control without record; competitors compress the cost of proposals, reporting and service delivery; and permission sprawl inside your file estate remains unaddressed, which becomes an incident the moment AI search is switched on. Delay also compounds the UK GDPR and EU AI Act governance work that will eventually be required of you anyway.

What happens next?

You book a free 30-minute discovery session. We confirm whether the AI Productivity & Readiness Assessment is the right engagement for your situation, agree scope and timing, and set out exactly what you receive and when. You get a written summary of the conversation either way.
